Terms and Conditions of GP Conference Hamilton Island

  1. Introduction

These terms and conditions (“Terms”) apply to the General Practice Medical Conference (“Conference”) to be held at Hamilton Island. By registering for and/or attending the Conference, you (“Participant”) agree to comply with these Terms.

  1. Registration

2.1. Registration Process: All Participants must complete the registration process through the official Conference website or designated registration platform (Eventbrite)

2.2. Payment: Full payment of the registration fee is required to confirm attendance. Payment can be made via credit card, bank transfer, or other accepted methods as specified on the registration form.

2.3. Confirmation: Upon successful registration and payment, Participants will receive a confirmation email. This confirmation must be presented at the Conference registration desk.

  1. Cancellation and Refunds

3.1. Cancellation by Participant: Cancellations must be made in writing to the Conference organisers. The following refund policies apply: • Cancellations received up to 60 days before the Conference: Full refund minus a processing fee. • Cancellations received 30-59 days before the Conference: Credit Note  for future conferences. • Cancellations received less than 30 days before the Conference: No refund.

3.2. Cancellation by Organizers: The organisers reserve the right to cancel the Conference due to unforeseen circumstances. In such cases, a full refund of the registration fee will be issued to Participants.

  1. Conference Program

4.1. Changes to Program: The organisers reserve the right to make changes to the Conference program, including speakers, topics, and schedule, without prior notice.

4.2. Substitution Policy: If a registered Participant is unable to attend, they may nominate a substitute to attend in their place. Notification of substitution must be provided in writing.

  1. Conduct and Safety 5.1. Code of Conduct: Participants are expected to behave in a professional and respectful manner. Harassment, discrimination, and disruptive behavior will not be tolerated.

5.2. Health and Safety: Participants must comply with all health and safety guidelines and protocols as directed by the Conference organisers and venue management.

  1. Privacy and Data Protection

6.1. Personal Information: The personal information provided during registration will be used for Conference-related purposes, including communication about the event.

6.2. Photography and Recording: By attending the Conference, Participants consent to being photographed and recorded. These materials may be used for promotional purposes by the organisers.

  1. Liability 7.1. Disclaimer: The organisers are not responsible for any personal injury, loss, or damage to property occurring during the Conference.

7.2. Insurance: Participants are advised to arrange their own travel and health insurance.

  1. Intellectual Property

8.1. Content: All materials presented at the Conference are protected by copyright and may not be reproduced without permission from the respective authors and organisers

  1. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which Hamilton Island is located.

**Medical Learning Journeys ; Hamilton Island Prize Draw

Terms & Conditions**

  1. Promoter
    The promoter of this prize draw is Medical Learning Journeys (MLJ).

  2. Eligibility

    • Entry is open only to individuals who are registered General Practitioners (GPs) in Australia.

    • Eligible entrants must either:
      a) Sign up to Medical Learning Journeys, or
      b) Participate in MLJ GP research activities during the promotional period.

    • Entrants must be aged 18 years or older.

  3. Prize Details
    The prize consists of:

    • 5 nights’ accommodation at Oasis 24, Hamilton Island – a 3-bedroom apartment with ocean views, sleeping up to six people.

    • Buggy hire for the duration of the stay.

    • Cleaning fees included.

    • Flights valued up to $1,000, based on the approximate cost of two adults’ return economy flights from Sydney.

    • Total prize value is up to $4,000, based on standard accommodation rates and flight estimates at the time of drafting.

    • The prize value may vary and no compensation will be provided if actual costs are lower than estimated.

  4. Booking Conditions

    • Travel excludes peak periods (including but not limited to major holiday seasons, school holidays, and public holiday periods).

    • Accommodation and flights are subject to availability.

    • Bookings must be made well in advance to secure preferred dates.

    • Dates will be confirmed directly with the winning party once arrangements have been made.

  5. Damage & Bond Requirements

    • A valid credit card must be provided by the winner and will be held as a bond for the duration of the stay.

    • Any damage to the property, its contents, or any additional cleaning or charges imposed by the accommodation provider will be the responsibility of the winner.

  6. How to Enter

    • Eligible GPs who sign up to Medical Learning Journeys or participate in MLJ GP research during the promotional period will automatically receive an entry into the draw.

  7. Promotional Period & Draw Date

    • Entries close at 11:59 pm AEDT on 30 November 2025.

    • The prize will be drawn on 1 December 2025.

  8. Winner Notification & Announcement

    • The winner will be notified directly using the contact details supplied during sign-up or research participation.

    • MLJ will announce the winner on its website.

    • The winner may be de-identified on the website announcement if requested or required.

  9. Prize Conditions

    • The prize is not transferable, exchangeable, or redeemable for cash.

    • If the winner is unable or unwilling to accept the prize, MLJ may award it to another eligible entrant at its discretion.

    • MLJ is not responsible for any additional costs incurred, including travel insurance, meals, activities, or any expenses other than those expressly stated in these Terms & Conditions.

  10. Liability

  • To the extent permitted by law, MLJ shall not be liable for any loss, damage, injury, or claim arising from the winner’s acceptance and/or use of the prize.

  • Entrants participate in the prize draw at their own risk.

  1. General

  • By entering the prize draw, entrants are deemed to accept these Terms & Conditions.

  • MLJ reserves the right to update or modify these Terms & Conditions at any time if necessary to ensure fairness or compliance with regulatory requirements.
